EmailGen (operated by ZSoft Labs, LLC, “we”, “us”) is committed to clear and
responsible privacy practices. This Privacy Policy explains what information we collect, how we use and
share it, how long we keep it, and the choices and rights you have when you use our website and web
app (the “Services”).
The short version
- Text you submit (prompts, emails you paste) is sent to third-party AI providers only to generate your response.
- We do not sell your personal information, and we do not use your content to train AI models.
- Your saved email history and preferences are stored in your own browser, and you can delete them at any time.
- You can ask us to access or delete your data by emailing contact@aiworksuite.com.
Scope
This Policy covers information collected through our website and web app. Our Google Workspace add-ons,
including the Gmail add-on, are governed by their own privacy policies, which are linked from their
Google Workspace Marketplace listings. This Policy does not cover third-party websites or services that
we link to; please read their policies separately.
Information We Collect
Information you provide
- Account information – your name, email address and authentication details when you sign up or sign in, including with Google or Apple. If you add a phone number, we collect that too.
- Content you submit – the prompts, emails, drafts and settings you enter into the Services, and the responses generated for you.
- Billing information – if you buy a paid plan, payment is handled by our payment processor, Stripe. We receive your plan and payment status, and we do not store your full card number.
- Communications – messages you send us, such as support or feedback requests.
Information collected automatically
- Usage and account data – your plan, credit or usage counts, and the features you use.
- Technical data – device and browser type, approximate location derived from your IP address, pages viewed, and error and security logs.
- Browser storage – see “Cookies, Local Storage and Analytics” below.
How We Use Information
- To provide the Services, including generating the emails, replies and other content you request.
- To create and manage your account, apply your plan and credits, and process payments.
- To maintain security, prevent abuse and fraud, and fix errors.
- To understand how the Services are used and to improve them.
- To respond to your questions and send service-related messages.
- To comply with legal obligations.
How Your Content Is Processed by AI Providers
To generate a response, we send the text you submit and the settings you choose to third-party AI model
providers, such as OpenAI, Google (Gemini), Anthropic (Claude), xAI (Grok) and DeepSeek, depending on the
model you select. This is the only purpose for which we send your content to them: to produce your response.
We do not share your content with anyone else beyond that, other than the service providers described
below that host and operate our infrastructure, or where the law requires.
- We do not use your content to train AI models, and we do not sell it.
- Each AI provider handles the data it receives under its own terms and privacy policy. These terms may allow limited retention for security and abuse monitoring. We encourage you to review them.
- Do not submit passwords, payment card details, government ID numbers or other highly sensitive information.
How We Share Information
- AI providers – as described above, solely to generate your responses.
- Service providers – companies that help us run the Services, such as Amazon Web Services (hosting, authentication and compute), Stripe (payments) and our analytics provider. They may process information only on our behalf and under appropriate agreements.
- Legal and safety – when required by law or a valid legal request, or when necessary to protect our rights, users or the public.
- Business transfers – if we are involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
Cookies, Local Storage and Analytics
- Browser local storage – we use it to keep you signed in and to store your email history, settings and preferences on your device. This data stays in your browser. When you sign out you can choose to delete it, and you can clear it at any time from your browser settings or in Account Settings.
- Analytics – we use GoatCounter, a privacy-focused analytics service that does not use cookies or track you across other sites, to count page views and see general information such as referrer, browser and country.
- Google Fonts – our pages load fonts from Google Fonts. When they load, your browser connects to Google’s servers, which receive your IP address and browser information.
- Installed app (PWA) – if you install EmailGen as an app on your device, for example from the Microsoft Store, it is the same web service. A service worker saves static app files (such as icons and scripts) in your device’s cache so the app starts faster and can show an offline message. It does not store your emails or prompts. You can remove the cached files by uninstalling the app or clearing site data.
- We do not use advertising cookies or third-party advertising trackers.
Data Retention and Deletion
We keep personal information only as long as needed to provide the Services, comply with legal
obligations, resolve disputes and enforce our agreements. Account information is kept while your account
is active. Your saved email history and preferences are stored in your browser and remain there until
you delete them.
To delete your account and associated personal information, email us at
contact@aiworksuite.com
from the email address on your account. We will respond within the time required by applicable law
(generally 30 to 45 days). We may keep limited information where the law requires, for example billing
and tax records. Deleting data in your browser does not delete your account, and deleting your account does
not delete data held by AI providers under their own policies.
Your Rights and Choices
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your
personal information, to object to or restrict certain processing, and to withdraw consent where we rely
on it. This includes rights under the GDPR and UK GDPR for people in the European Economic Area and the
United Kingdom, and under the California Consumer Privacy Act (CCPA/CPRA) for California residents,
including the right to know, delete and correct, and the right not to be discriminated against for
exercising these rights. We do not sell or share personal information as those terms are defined under California law.
To exercise a right, email contact@aiworksuite.com.
We may need to verify your identity first. If you are in the EEA or UK and are unhappy with our response,
you can also contact your local data protection authority.
Legal Bases for Processing (EEA and UK)
- Contract – to provide the Services you request and manage your account and plan.
- Legitimate interests – to secure and improve the Services, prevent abuse and understand usage, balanced against your rights.
- Consent – where we ask for it, which you can withdraw at any time.
- Legal obligation – where we must process data to comply with the law.
International Transfers
We are based in the United States and process information in the United States and other countries where
we, our service providers and our AI providers operate. Where required, we rely on appropriate safeguards
for transfers of personal information from the EEA, UK or Switzerland, such as standard contractual clauses.
Security
We use reasonable technical and organisational measures to protect information against unauthorised access,
alteration, disclosure or destruction. No method of transmission or storage is completely secure, so we
cannot guarantee absolute security.
Children
The Services are not directed to children under 13 (or the minimum age required in your country), and we do
not knowingly collect personal information from them. If you believe a child has given us personal
information, please contact us and we will delete it.
Changes to This Policy
We may update this Policy from time to time. We will post the updated version on this page with a new
“Last updated” date. If we make material changes, we will take reasonable steps to notify you, for example
with a notice on the site or by email. Continued use of the Services after changes take effect means you
accept the updated Policy.
